Operations modernization with Dynamics 365: from fragmented tools to a unified platform

To establish a single source of truth, automate business processes, and improve transparency, given prior positive experience with Microsoft Dynamics 365 Sales, the customer aimed to continue moving their processes to Dynamics 365 by implementing Dynamics 365 Finance and Supply Chain Management. Itransition delivered a proof of concept, covering the setup and configuration of core Finance and HR modules, end-to-end Procure-to-Pay process configuration, and comprehensive user training and support, all aligned with the customer's requirements and workflows. Then, we assisted the customer in building an internal team for further solution development and continued the collaboration, providing ad hoc support.

The customer is an official dealer and service partner of major construction and special equipment brands. The company offers equipment and original spare parts, as well as a wide range of services like maintenance and repairs, operator training, equipment financing, and equipment rental to support their clients' business operations.

The challenge

Given prior positive experience with Microsoft Dynamics 365 Sales, which Itransition’s team had implemented for them earlier, the customer decided to extend their digital transformation by automating business processes further and establishing a single source of truth across the company.

The customer faced the following challenges:

  • Growing system landscape. Financial processes were managed in an internal DATEV system. If the customer chose to support multiple disconnected systems, it would drive up total cost of ownership and limit their ability to scale efficiently.
  • Regulatory compliance gaps. The existing finance system in HR area did not fully meet local requirements related to data storage and retention – the area where the customer's team lacked full clarity. The absence of an HR system created a similar challenge, since regulatory requirements regarding data storage and employee record management were not adequately addressed.
  • Manual, Excel- and email-based HR and procurement workflows. Heavy reliance on spreadsheets and email data exchange introduced operational inefficiencies, low process visibility, overreliance on certain employees, and barriers to scalability and optimization.
  • Limited warehouse and inventory visibility. The customer faced limited visibility into warehouse operations and inventory status. Without a centralized view of stock levels, they struggled to determine item availability, anticipate replenishment needs, and make accurate demand forecasts - leading to delays, inefficiencies, and suboptimal procurement decisions.

With a focus on finance, human resources, and procurement, the customer was considering adapting Dynamics 365 Finance and Supply Chain Management.

The solution

At a glance

Itransition started with implementing a proof of concept based on Microsoft Dynamics 365 Finance and Supply Chain Management. Our team set up and configured the required modules, integrated them with Dynamics 365 Sales, and trained the company’s employees to ensure seamless system adoption. After PoC’s implementation, Itransition assisted the customer in building an internal team to ensure further solution support and development.

By combining our deep expertise in Dynamics 365 and industry experience, we created a proof of concept that became another step in unifying the customer’s operations into a single platform.

Proof of concept

Itransition’s team understood the scale and complexity of the transition and anticipated that large-scale change management and system adoption would be challenging. The customer also required zero downtime during the transition to the new system.

Therefore, Itransition’s experts proposed to validate the fit of Dynamics 365 Finance and Supply Chain Management with the customer's business processes before committing to a full-scale rollout and start with a proof of concept. Our consultants conducted workshops with key users across finance, HR, and procurement management teams to map existing workflows and identify alignment with Dynamics 365 Finance and Supply Chain Management standard capabilities. Then we established the scope for the PoC.

Core finance system

To streamline system implementation and ensure smooth and fast adoption by the users, Itransition’s team began with the setup of a General ledger module that manages financial records, supports journal processing, allocations, intercompany transactions, and reporting, forming the backbone of the company’s financial management system.

To address fragmented data and limited cross-functional visibility, our team migrated the customer's DATEV accounting system to Dynamics 365 Finance and Supply Chain Management. To further enhance their client and financial insights, we assisted them with synchronizing all data across Dynamics 365 Sales and Dynamics 365 Finance and Supply Chain Management in near-real time via Dataverse. This allowed the customer to work with unified and consistent data to make more informed decisions.

Core human resources system

Itransition’s team set up the human resources system and configured the following:

  • Configurations of the templates for automated employee onboarding into the system to automatically process uploaded documents, create a user, and log them in.
  • Employee migration via the Data Management Framework tool, ensuring that employee-related data is transferred accurately and efficiently between systems while maintaining integrity and usability.
  • Expanding user reports to enhance data visibility, improve decision-making, and make workforce management more efficient.
  • Document migration and customization, enabling a “search” function across documents attached to employees.

To help the customer navigate complex local regulatory requirements, we made sure that the system fully complies with these requirements and embedded these requirements into contractual documentation. We further implemented targeted customizations while keeping them within best-practice limits, and enhanced the system with efficient document storage, filtering, and retention capabilities through SharePoint integration to meet legal standards and improve usability.

Procure-to-Pay process

Our team set up the Procurement and sourcing module that streamlined the end-to-end process of acquiring trucks, from requisition to payment, while supporting supplier management and strategic sourcing. With the introduction of the Procure-to-Pay process, the customer gained real-time visibility into inventory levels across warehouses, improved control over purchasing activities, and ensured stronger alignment between demand and supply planning. Automated workflows and standardized processes enabled more accurate forecasting and proactive procurement.

Expanding user reports with the help of Power BI enhanced suppliers’ ability to meet delivery commitments and ensured that the right equipment and materials were available when needed.

As a result, the customer significantly improved OTIF (On-Time, In-Full) delivery - the metric that measures a supplier’s ability to fulfill its delivery promises.

User guidance and ad hoc support

Itransition delivered post-implementation live demos and training sessions with practical examples on utilizing the new system, covering its capabilities, functionality, and best practices. Additionally, we offered ongoing ad hoc user support, remaining closely engaged with end users throughout the adoption phase. Our team promptly addressed user questions, clarifying system behavior, and assisting with real-life scenarios as they arose.

This approach ensured that users felt supported in their day-to-day work, enabling faster issue resolution and building confidence in the new system.

In-house team

In addition, after PoC implementation, Itransition supported the customer in building a capable in-house team to ensure further solution support. Our experts defined a clear profile of the required specialist, outlining the necessary skills and responsibilities, and assisted in identifying and selecting the right candidate.

In parallel, we delivered targeted training to equip the team with the knowledge needed to manage and support key processes within the system independently, enabling a smooth transition to internal ownership.
