The challenge

The customer was launching a new company in Australia to sell both custom-made and off-the-shelf footwear in the region. To support the expansion, they required a robust and flexible ERP platform for managing core business functions, including product and warehouse management, accounting, customer and supplier relationships, and end-to-end sales and order processing. They also needed a dedicated B2B website to support ordering workflows and interactive customer experiences.

The solution

At a glance

We delivered an Odoo-based ERP solution, configuring and customizing the platform to support the customer’s online selling, product and order management, warehouse management, accounting, financial reporting, and customer relationship management operations, ensuring compliance with Australian regulations.

Discovery

Our team worked closely with the customer to identify and prioritize business goals, operational challenges, and solutions’ requirements. While the client initially considered using their existing multi-system setup, our analysis showed that Odoo could meet most of their needs out of the box or with minimal customizations, while easily integrating with third-party plugins or custom modules to expand its native capabilities. This approach would also simplify software maintenance and support while reducing operational overhead. Eventually, we demonstrated this approach and its benefits by delivering a tailored Odoo demo.

ERP implementation

Ecommerce website setup & customization

We configured an Odoo-powered website to support B2B sales, using a custom theme for its user interface. The platform allows users to browse the product catalog, place orders, and choose delivery and payment options to complete the checkout. To enhance user engagement and self-service capabilities, we implemented user accounts and configured a live chat to provide real-time customer support around the clock.

To fully support the required B2B workflows, we implemented the following customizations and third-party module integrations from Odoo Apps Store:

  • Custom user registration form with an approval workflow managed by the customer’s admins
  • Custom product ordering form allowing for product specifications input and attachment of files and documents
  • Customized shopping cart that enables splitting products into several lines with different product quantities and unique notes for each line
  • Support for multiple payment options, including wire transfer, PayPal, and card payments
  • Ability to choose a delivery provider from multiple options and a delivery date
  • 3D product visualization with an interactive viewer, allowing customers to rotate and inspect products from multiple angles

Product management & data integration

We set up product management workflows, including the import of product data, images, and pricelists from various suppliers originally stored in multiple Excel files and configuration of product variants and attributes. Our team also enabled 3D image uploads and added a custom configurator to link images with products without uploading visuals for each product variant, helping save storage and simplify product management. Additionally, we cleaned duplicate and irrelevant records and resolved discrepancies in stock levels and pricing data.

Sales & order management

Itransition’s team configured and customized Odoo’s sales workflows for both off-the-shelf and custom products, ensuring that the sale of each product category is properly handled and the system supports additional fields, attachments, and logic specific to custom orders:

  • Restricting pricing visibility to hide product prices by default and show them only to registered and approved users
  • Limiting the visibility of certain product categories to selected users
  • Splitting off-the-shelf and custom orders during the purchase process
  • Support of multiple payment options by integrating Stripe, including card payments, PayPal, and wire transfer
  • Enabling the calculation and addition of Stripe commissions to the final product price by implementing a third-party add-on
  • Delivery methods enablement, including activating DHL, UPS, and FedEx connectors for product shipping and adding a custom TNT connector to expand delivery options

Warehouse management

We set up effective warehouse management using a combination of default configurations, customizations, and process automation rules to enable:

  • Accurate item tracking across warehouses and specific storage locations (rooms, shelves, etc.) setup
  • Reliable inventory control using stock counts and inventory adjustments to maintain accurate levels and resolve discrepancies
  • Automated FIFO (first in-first out) accounting
  • Automated reordering and stock replenishment based on stock levels monitoring and pending orders analysis
  • Optimized stock picking by consolidating multiple orders for the same customer into a single shipment, reducing costs and simplifying delivery
  • Automated purchasing from suppliers for selected off-the-shelf items triggered by customer orders
  • Barcode scanning via smartphones for product receipt and delivery, speeding up warehouse operations and reducing manual entry errors

Accounting & regulatory compliance

Our team worked closely with the customer’s financial advisor to align ERP accounting workflows with Australian financial regulations using standard Odoo features. For this, we connected the customer’s bank and Stripe accounts to Odoo to automate bank statements and transaction data import. We also configured the chart of accounts and fiscal positions and enabled custom tax calculation rules for different contractors. Finally, we set up fixed asset management to simplify asset tracking and depreciation calculation.

Financial reporting

We configured real-time sales dashboards with insights into the company’s key financial metrics, including sales volume, net revenue, average order value, category-level performance, and profit margin analysis. We also enabled sales forecasting by implementing a linear trend model for optimistic and pessimistic projections and set up dashboards to compare actual sales performance to forecasted results.

CRM enablement

To support client relationship management, we set up a CRM module. We also imported existing contact data into the system, enabling the client to link contacts directly to sales orders and communication threads, which simplified opportunities management, client communication, and interactions tracking.
