About the customer

Our customer is a US-based company specializing in sales training and consulting. Their primary market value lies in a proprietary methodology for evaluating the probability and effectiveness of sales opportunities. They help their clients to drive consistent sales execution and improve win rates and deal quality. In addition to offering educational programs, the company also generates revenue by selling its custom-developed CRM extensions for Salesforce.

The challenge

Our customer had several custom add-on applications that were great tools for the analysis and adjustment of deals’ success, evaluation of sales probability, assessment of people’s involvement and influence on the sale, and assessing whether potential opportunities were worth pursuing. The apps were developed for Salesforce only, which limited the range of clients who could benefit from them, so the customer aimed to develop a cloud-native version of these applications to extend their availability beyond the Salesforce ecosystem.

Additionally, the customer had an anchor client who was highly interested in adopting the apps and wanted to use Microsoft stack as much as possible, so our customer decided to do the project on Power Platform. Since there was no relevant expertise in-house, the customer was looking for a reliable partner who could:

  • Build a solution based on Microsoft Power Platform, combining these applications into one and making it independent of the CRM solution
  • Integrate the solution with the CRMs of the anchor clients
  • Assist with integrations and required customizations for other clients in the future

The solution

Itransition developed a CRM-agnostic solution based on Microsoft Power Platform that combines the customer’s three applications into one and integrated it with Dynamics 365 and the SugarCRM of our customer’s clients.

Bringing together deep technical expertise and vast experience in CRM integration, we delivered a product that helped our customer extend the availability of their services.

App implementation

Itransition’s team started with a discovery workshop, during which we defined the implementation approach, adapted the apps’ architecture to Power Platform, and analyzed customer’s requirements. Although Power Platform provides a wide array of out-of-the-box components, our customer needed a high degree of customization in both UI and UX, very similar to what they had developed over 15 years of plugin development on Salesforce.

This included such complex visual components as:

  • Organizational charts that display the employee structure, clearly indicating reporting relationships, and provide the ability to add notes and identify types of mutual influence
  • Custom tables
  • Unconventional graph and visualization elements
  • Dropdowns with dynamic images

To meet customer’s requirements, we selected the Canvas App as the tech solution due to its more customizable interfaces. However, this decision introduced a hidden challenge: the app store’s built-in tools didn’t support license management for this type of app. Our team found a workaround using a combination of available built-in Power Platform capabilities. We implemented a custom license and access management framework by combining Dataverse-based entitlement storage, role-based access logic within the Canvas App, Azure AD identity integration, and Power Automate workflows for provisioning and governance.

Complex custom design could influence the application performance, so Itransition’s team applied Power Platform best practices to ensure stable performance, such as splitting app screens to lighten them up, optimizing queries, using reusable component and moving opportunities scoring calculations to plugins that we created, distribution by categories etc.

In general, the approach required us to work around platform limitations, embed external components, utilize JavaScript, and build non-standard integrations. Despite these challenges, the team managed to adapt and preserve the architectural logic within Power Platform while still delivering the required functionality.

As a result, we delivered a CRM-agnostic Power app that can operate independently with loaded data from external sources or be integrated with a CRM system.

Integration

After delivering the core part of the solution, for one of the customer’s clients Itransition’s team integrated the app with Dynamics 365, using standard connectors and native capabilities, without any customizations to the core system. This became our customer’s reusable, out-of-the-box offering for their clients with Dynamics 365 that could be deployed through configuration alone, reducing implementation time, cost, and complexity.

Then the team moved to integrating the app with the infrastructure of the customer’s end client, who used SugarCRM for their operations.

We conducted detailed interviews with the client to clarify their technical environment: the number of CRM systems in use, the nature and structure of the data to be transferred, field mappings, and infrastructure requirements for deployment on their side. Simultaneously, we continued to build the integration logic.

Our team established seamless data exchange between our application and SugarCRM, enabling the synchronization of client records, opportunities, contacts, and the analytical results generated by the extension itself.

Itransition also implemented quite a few customizations and new features that were requested by the client:

  • Simplified Access Model. To make the system more intuitive for end users and reduce administrative complexity, we replicated the client’s complex access and permissions system in a more simplified form
  • Granular Security Framework. To meet the client’s strict security requirements, we built a separate security model that evolved from a simple, uniform, team-based access approach with full editing rights into a more structured and granular framework. Key enhancements included geographic (GEO) grouping for contacts, restricting visibility so that users can only access contacts within their assigned regions, the introduction of new roles, like a Read-Only role, and access inheritance rules, ensuring that visibility of opportunities implicitly grants visibility to the associated accounts. The model was further aligned with a three-level account hierarchy
  • UI related customizations. To ensure users can easily access required information, refinement of application behavior in handling unsaved changes and navigation our team made adjustments to field visibility, layout, and order. Additional features, such full history tracking for comments with role-based access and custom branding, increased transparency, collaboration, and alignment with the customer’s identity
  • Print-ready reports. To improve accessibility of insights, we added a generation of the reports’ print versions from Power BI, so that the data from the app could be sent to the e-mail in PDF or pptx format
