Customer

The customer is one of the leading oil & gas enterprises that explores and develops oil fields as well as extracts and transports crude oil and petroleum products. The staff consists of on-site employees who work in the oil fields and the administrative office that manages production and corporate activities.

Itransition had already cooperated with the customer, specifically on document management and collaboration solutions. That’s why, when the company faced the need to revise their legacy reporting system and upgrade its features, they chose Itransition as a trusted provider of KPI software development with a broad collaboration experience and deep expertise in custom software development.

Challenge

The customer operated disparate performance data on oil extraction, human resources, and finances. The data was scattered across numerous documents and reports created by different employees and departments. The corporate managers exchanged manually-generated reports via emails on a monthly basis, which was too time-consuming and ineffective to keep track of the company’s KPIs and make business decisions based on that data.

The customer decided to go for KPI software development to improve the reporting process, reduce time and effort on creating and sharing reports, and to focus on analyzing reported data instead. To enable that, it was necessary to implement a centralized solution for corporate data storage, processing, visualization, and transfer. After analyzing the requirements, Itransition’s team suggested creating a system that would automatically aggregate, sort, and evaluate corporate KPIs to present them to different groups of employees in a visually compelling manner.

Solution

The project started with business analysis. Based on the customer’s data specifics, existing data storages, and outlined goals, Itransition’s business analyst suggested the solution’s structure, data visualization models, and data-sharing logic.

The resulting solution is a desktop application that helps the customer reach the following objectives:

  • Provide employees with accessible tools to visualize KPIs in a single secure system
  • Collect and analyze corporate KPIs timely and consistently
  • Apply various methodologies and inputs for the same KPI to get the complete and unbiased view of the corporate metrics
  • Identify KPI deviations promptly, drill down into selected data to find out the root cause for the deviation, and get an early opportunity to address it
  • Reduce the effort on preparing detailed KPI analytical reports and eliminate scattered computational methods
  • Control data quality, preserve data and reporting uniformity across the enterprise

All in all, the development team developed 10 toolbars with KPIs presented as diagrams. The toolbars operate within the single user-friendly interface that allows employees to work with the visualizations in different languages, as well as filter the data aggregated in the system.

To perform an in-depth analysis of specific KPIs, employees can get a detailed report from any part of the diagram to learn the information on how a certain figure was generated.

Results

In the course of this KPI software development, Itransition’s team analyzed the customer’s requirements and developed a custom reporting tool in line with the business needs. Our team was also responsible for the solution design and integration with the corporate data storages. To ensure correct and stable operation, Itransition also carried out performance, integration, and usability testing.

At the final stage of the project, our team organized training for the customer’s IT specialists to provide them with the necessary guidance on how to support and manage the system. We also put together a detailed user guide explaining the solution’s capabilities, logic, and optimal use scenarios.

The end users’ feedback about the system was mostly positive. They highlighted the solution’s clear logic, user-friendly interface, and speedy performance. By the end of the first quarter since the tool launch, the customer reported substantial improvements in their KPI analysis workflows. The tool is now used to monitor production and organizational processes continuously. It also serves as the data source for weekly, monthly, and yearly reports at all levels.
