Context

The Customer is an international ISV specializing in document management systems. Seeking out ways to increase sales and enter new markets, the Customer approached Itransition requesting development of a metadata management system that would complement one of their flagship ECM products used for document storage.

Solution

The Customer had a clear vision of the system technical implementation, so Itransition was provided with a detailed specification containing strict performance and load-resistance requirements. Extended flexibility of e-Archive configuration (the system is adjusted to the peculiarities of each specific client’s archive) was a prerequisite entailing the system architecture complexity.

The e-Archive was designed to integrate with the Customer’s content management product for storage and searching capabilities. To enable seamless integration, detailed API documentation for the Customer’s ECM was provided to Itransition’s team.

Meeting Specific e-Archiving Needs

The developed system automates work processes related to regulatory documents submitted for archival. The system encompasses the following functionality:

  • configuration of archive structure and workflows;
  • integration with ECM for document storage and full-text searching, integration with other external systems;
  • comprehensive data import/export to/from the storage of a single document or a batch of documents;
  • operations with archive units, files and metadata;
  • navigation through and searching the archived documents;
  • submission of archive units for perpetual storage/disposal.

Currently the system, accessed from a web browser, is deployed to production and widely used. The system users are:

  • record keepers and archivists who handle the archive data stored in the form of files and metadata;
  • readers who request and get access to the files contained in the archive;
  • administrators who manage licenses, users and user rights.

Results

Itransition’s specialists managed to flawlessly implement all the functional requirements they were approached with and came up with a robust, reliable metadata management solution.

The project delivery was accompanied with knowledge sharing: our Customer’s employees underwent training under expert supervision of Itransition’s specialists.
